Seller Hub Reports

The Reports tab in Seller Hub makes it easier to for high-volume sellers to manage their eBay business in bulk. Using templates, sellers can schedule, upload and download files to add, revise, relist, and end listings. Reports is being made available to sellers who previously used the File Exchange tool first, but access will be opened to all sellers very soon.

Existing File Exchange users

To provide sellers with an improved experience, the File Exchange tool is being replaced by Seller Hub Reports. If you previously used File Exchange you will find most of its core functionality is now in Reports, including the ability to create active listings reports, sold reports and revise price and quantity reports. 

The downloads and uploads of your reports and templates in Reports should be familiar to you from the old File Exchange tool. All commonly used reports and templates are backwards compatible. However, because of this improvement in user experience, you will have to schedule brand new reports for your order management logistics. 

For ease of access, you can bookmark this new tab or select Reports from the Seller Hub Overview page. If you have been using File Exchange via the URL link in a programmatic way be aware that this will no longer be available. To integrate programmatically, you will have to migrate to the Feeds API.

Seller Hub Reports features

Here are some of the many things you can do with Seller Hub Reports:

  • Create listings in bulk
  • Upload, download, and schedule reports
  • Fulfill orders
  • Mark items as dispatched
  • Find items that have been paid or posted
  • Manage feedback
  • Identify and fix errors in your listings in bulk

If you're a first time user of Reports, all you need to get started is an eBay account with access to Seller Hub. Business sellers are automatically opted in to Seller Hub. Private sellers just need to have made at least one sale to get access.

Getting started

Whether you're listing inventory for the first time or editing existing listings, you should start by creating templates in the Upload section. Here's how:

How to create templates to bulk list your inventory on eBay
  1. Go to the Reports tab - opens in new window or tab - opens in new window or tab in Seller Hub.
  2. Select Upload on the left-hand side.
  3. Select the Download template button.
  4. Select Listings from the Source options.
  5. Select Basic template as the template Type.
  6. Select Download.

If Reports or File Exchange are new to you, we recommend that you try listing a single product first to familiarize yourself with the tool.

Once your template is downloaded, you'll need to convert it into a .csv file. Here's how

  1. Open the template on your computer.
  2. Fill in all the required fields in the template. (The Excel file has additional notes to help you complete the template.)
  3. Under the Action column in the excel sheet, enter "Add".
  4. ​Save the template in the .csv (Comma delimited) format.

 

 
How to create templates to bulk edit and manage existing listings and orders
  1. Go to the Reports - opens in new window or tab in Seller Hub.
  2. Select Upload on the left-hand side.
  3. Select the Download template button.
  4. Choose Orders or Listings from the Source options.
  5. Select the template Type. (e.g. Basic template, Edit price, quantity or delete listings, Add order tracking and feedback, Item Specifics.)
  6. If you choose Orders as the template source, select the Date Range for the report (from 1-90 days). 
  7. Select Download.

Once your template is downloaded, you'll need to convert it into a .csv file. Here's how

  1. Open the template on your computer.
  2. Fill in all the required fields in the template. (The Excel file has additional notes to help you complete the template.)
  3. ​Save the template in the .csv (Comma delimited) format.

Tip
Templates and reports created in the old File Exchange tool will not be carried over to the new Reports tool. To generate new templates and reports in Seller Hub, follow the instructions above.

 

 

Uploading  templates

Once you've added information to the template and converted it to a .csv file, the process for uploading it is the same whether you're listing new inventory or editing existing listings in bulk. Here's how to do it:

  1. Go back to the Upload section of the Reports tab - opens in new window or tab.
  2. Select the Start Upload button.
  3. Choose the .csv file.
  4. Select the template type you're uploading.
  5. Select Upload.

Once you hit Upload, your file will be processed and all the actions you requested will be run. This usually takes less than 15 minutes, though very large files can take longer. When the upload is finished, you'll see a message saying Your upload is complete and a downloadable report of all the actions taken will be generated.

Downloading and scheduling reports

You can generate, download, and keep track of reports on your orders and listings from the Download section. Reports are very useful for a number of reasons, including record-keeping, auditing and order fulfillment. For example, you can create a scheduled order fulfillment report to automatically update shipping details at frequency that suits you, saving you a lot of manual work.

How to download reports
  1. Go to the Reports tab - opens in new window or tab in Seller Hub.
  2. Select Download on the left-hand side.
  3. Select the Download report button.
  4. Choose Orders or Listings from the Source options.
  5. Select the Type of report you want to schedule (e.g. All orders, Awaiting Shipment, etc.).
  6. Select the Date Range for the report (from 1-90 days).
  7. Select Download.
To download a previously existing report:
  1. Find the report you want to download in the "Recent downloads" section.
  2. Select Download.

How to schedule automated reports
  1. Go to the Reports tab - opens in new window or tab in Seller Hub.
  2. Select Schedule on the left-hand side.
  3. Select the Create download schedule button.
  4. Choose Orders from the Source options.
  5. Select the Type of report you want to schedule (e.g. All orders, Awaiting Shipment, etc.).
  6. Select the Frequency of your reports (Hourly, Daily, Weekly or Monthly).
  7. Select a Run Time.
  8. Select an Ends on date of the report or select No end date.
  9. Select Save.

Updating existing scheduled reports:

  1. Find the report you want to edit in the "Scheduled reports" section .
  2. Select Modify then Edit (or Delete if you want to remove it completely).
  3. Make your edits then select Save.

 

 

Merchant Integration Platform

Sellers who have a stock-keeping unit (SKU) or custom label-based inventory may prefer to use eBay's Merchant Integration Platform – another bulk management tool for high-volume sellers.
